Weyerhaeuser is seeking a qualified Office & Payroll Coordinator to join our team at the Cottage Grove Lumber mill. The ideal candidate is a self-starter who shows initiative, is a team player with a positive attitude, and has an excellent work ethic. This is a full-time, salary, non-exempt position reporting to the Mill Manager. This role is responsible for weekly time entry review and contract compliance regarding pay practices for 200 hourly employees, partnering with HR in benefit administration, hiring, and promoting, and managing general office duties. In addition, supporting the leadership team, being in constant interaction with employees, outside agencies, contractors, and the public. This position does not have remote work available.
Key Functions include but are not limited to:
- Managing hourly payroll
- Tracking of vacation and other paid leave for hourly employees
- Financial duties including donations, payments, check requests and employee reimbursements
- Coordinate site-wide and community involvement events
- Manage all consumable supplies
- Managing confidential files and records
- File retention and storage compliance
- Coordinating the apprenticeship program (examples include: testing, interviewing, and on boarding assistance)
- Assisting with safety needs & projects
- Computer work including word processing, presentation preparation, spreadsheet creation and maintenance, web database management, file sharing, etc.
- Attend and lead preparation for team meetings and events
- Manage housekeeping for the mill site
- Work successfully within a union environment
- Flexibility and ability to provide multi-faceted support to professionals with varied work styles with constant interaction with people at all levels of the business
- Ability to manage multiple rapidly changing priorities efficiently
- Proactively working with a sense of urgency to meet deadlines
- Demonstrate a high level of integrity, confidentiality, good judgment and problem-solving skills

- High school diploma or General Education Degree (GED)
- Proficiency in Word, Excel, PowerPoint and Outlook with ability to learn other software efficiently
- High degree of initiative and common sense with a positive can-do attitude

- Organizational skills with high standards for quality and accuracy

Preferred :
- Associates or Bachelor’s degree
- Union Experience
- HR (including payroll) experience
- Experience in SAP, SharePoint, DATS, and PeopleSoft Time Entry

What We Offer:
Compensation : This role is eligible for our annual merit-increase program, and we are targeting a salary range of $49,379 to $73,998 based on your level of skills, qualifications and experience. You will also be eligible for our Annual Incentive Program, which offers a cash bonus targeting 5% of base pay. Potential plan funding may range from zero to two times that target.

Retirement : Employees can enroll in our company’s 401k plan, which includes a paid company match in addition to our annual contribution equal to 5% of your base salary.
Paid Time Off or Vacation: We provide eligible employees who are scheduled to work 25 hours or more per week with paid vacation for up to 3 weeks to use during your first year of employment. In addition, after being employed for six months, eligible employees begin to accrue vacation for future use. Plus 40 hours of Oregon sick time per year. We also recognize eleven paid holidays per year, providing a total of 88 hours and 4 weeks of parental leave in addition to Paid Leave Oregon.
