Job Description
This position is responsible for scoping, estimating, and generating proposals for productized services for machinery. It is a customer-facing role that includes managing activities from RFQ through order close out and driving success through effective leadership, scoping, costing, resource utilization, risk management, and technical oversight. The role operates in a matrix organization with Sales, Engineering, Manufacturing, Quality, Operations, and After-Sales Services to achieve requirements and ensure profitability.
Essential Duties:
- Communicate with sales team and/or customers to confirm proposal requirements.
- Manage queue of assigned open proposals within Salesforce CRM system.
- Prepare cost analysis and challenge any questionable cost information gathered.
- Present proposal cost details in proposal review meetings as necessary.
- Communicate with functional teams for scope definition, costs, and hours.
- Prepare proposals and submit to Salesforce approval workflow.
- Use standardized templates for generating cost sheets, proposals, and order entry documents.
- Assist with expanding and maintaining template library.
- Organize documents for executive review and approval of high value and/or highrisk proposals.
- Follow up on sent proposals including executing revisions and updates as needed.
- Provide technical and cost data support during order negotiations.
- Prepare and submit order entry documentation, including validating PO and Terms and Conditions.
- Conduct order and contract review meeting with appropriate stakeholders.
- Verify that the internal work order accurately reflects the order content/scope of work.
- Send order acknowledgement letter to customer.
- Participate in proposal and deliverables review and preplanning activities.
- Acts as liaison to the customer through order completion.
- Maintain ownership and a handson approach.
- Lead planning and execution efforts across the organization.
- Ensure scope, schedule, and budget performance, tracking and managing all changes.
- Communicate with all stakeholders regarding status and performance.
- Manage budget and cashflow, ensuring timely invoicing and monitoring of receivables.
- Minimize company exposure and risk through appropriate review and mitigation efforts.
- Resolve or escalate issues timely and effectively.
- Communicate difficult information with diplomacy and tact.
- Motivate others and convey urgency appropriately.
- Ensure all documentation is complete and filed appropriately.
- Adhere to appropriate work instructions and processes.
- Proactively maintains a safe and healthy work environment for all employees.
- Additional duties as assigned.
Desired Qualifications:
Previous manufacturing experience is required. Previous estimating and capital equipment experience is preferred. Successful candidates will need to be able to read and effectively process data from user, maintenance, electrical, and other equipment manuals and drawings.
