Job Description
The Practice Manager is a leader and an integral veterinary hospital leadership team member. The Practice Manager partners with the Veterinarians to provide a smooth and profitable operation by driving revenue and managing costs while creating a hospital culture based on high-quality patient care and exceptional customer service. Responsibilities include managing, planning, and coordinating the hospital's operations and cultivating a supportive and collaborative team environment. EDUCATION/EXPERIENCE/SKILLS Experienced or Certified Veterinary Practice Manager with a minimum of 3 years of management experience preferred or 5+ years of veterinary experience preferred A solid foundation of veterinary medicine that will allow for effective communication with DVMs and support staff, ensuring quality care for animal patients. Leadership and management skills, including effective decision-making, problem-solving, and conflict-resolution skills. Proficient in managing budgets, analyzing financial reports, and finding areas of cost optimization. Strong understanding of principles of inventory management. Proficiency with the latest veterinary management technology. Problem-solving, critical thinking, informed decision-making under pressure, and the ability to find innovative solutions are crucial in this role. Compassionate, calm, team player, multi-tasker, effective communicator, and empathetic listener. Ability to handle varied and sometimes challenging conditions: will be exposed to highly emotional situations, unpleasant odors, noises, and animal excrement. POSITION RESPONSIBILITIES Develop and lead hospital teams - veterinarians, technicians, assistants, and receptionists. Instill trust and build relationships among the hospital teams, ensure accountability, and thrive in a cross-functional environment. Know, understand, implement, follow, and communicate with teammates all company employment policies and procedures and other opportunities within the company. Oversee daily hospital operations, implement strategic plans, manage staff, manage relief coverage, and ensure high-quality veterinary care. Manage Accounts receivable manage client and/or employee accounts. Manage receptionists end of day reconciliations, cash and credit card payments. Manage team timecards to ensure accuracy and prompt reporting for payroll. Balance the hospital team's needs with the organization's goals. Collaborate with the upper management team to scale and implement processes Precise business knowledge to ensure following and checking financial goals, budgeting, and generating financial reports to analyze the hospitals performance and profitability. Oversee and support Inventory & Pharmacy Managers: industry price comparisons, ordering, price setting, inventory tracking, develop and support relationships with vendors Human resource responsibility includes hiring and onboarding new staff members, conducting performance evaluations, and providing training and development opportunities to the team. Ensure the clinic's facilities are well-maintained and equipped. Coordinate repairs and maintenance of the clinic's physical space. Establish internal operating procedures for the practice's administration to ensure the accuracy and completeness of veterinary records and reports, format, and compliance with accepted hospital practices. Ensure compliance with regulatory agencies and laws, including OSHA, DEA, EEOC, ADA, and the Department of Labor. Develop and support procedures necessary to meet regulatory requirements. Identify and implement methods that enable all teammates to excel in their assigned roles in a team environment; develop and foster a positive work environment. Review, analyze, and implement staffing plans that promote the most effective use of teammates and provide adequate staffing levels per department while being aware of labor costs and their impact on the hospital's profitability. Handle customer relations with sensitivity and fairness, manage feedback, and address issues to improve client satisfaction. Foster an environment of continuous learning, improvement, and excellence.
